Policy At a Glance

The full policy follows.

Section 1 — Purpose

This Policy establishes the terms governing payments, cancellations, refunds, replacement opportunities, visa assistance, travel arrangements and disputes involving Rapid Global Recruitment & Travel Ltd (“Rapid Global” or “the Company”).

The Policy seeks to protect both Clients and the Company through transparent service descriptions, documented payments, reasonable refund assessments and compliance with applicable laws.

Section 2 — Scope

This Policy applies, where relevant, to:

Separate signed agreements may contain additional terms, but no provision may override mandatory legal rights.

Section 3 — Service Package Categories

Rapid Global may offer the following service categories, subject to the licences and authorizations required for each activity:

A. Visa & Documentation Assistance

May include administrative application assistance, document organization, appointment coordination, application tracking and related support.

B. Visa Assistance & Flight Package

May include agreed visa assistance and flight arrangements, subject to the written package inclusions.

C. Overseas Employment & Mobility Package

May include authorized recruitment or placement activities, employer coordination, employment-document support, work-permit coordination, visa assistance and agreed travel services.

Each agreement must identify the selected package and the exact services included and excluded.

Section 4 — Package Price Disclosure

Before accepting payment, Rapid Global shall provide the Client with:

  1. The agreed total package price.
  2. Services included and excluded.
  3. Payment stages and their conditions.
  4. Applicable official government charges.
  5. Disclosed third-party or supplier costs.
  6. Flight inclusions, if applicable.
  7. Relevant cancellation and refund conditions.
  8. Material uncertainties and processing dependencies.

A package price shall not be represented as an official government visa fee unless it is genuinely such a fee.

Section 5 — Lawful Service Charges

Rapid Global may charge for genuine services only to the extent permitted by applicable law.

The Company shall not impose prohibited recruitment or placement fees, including indirectly through documentation, visa assistance or partner-service descriptions.

The existence of a signed agreement, supplier invoice or completed service does not override a legal restriction on charging a worker.

Section 6 — Foreign Recruitment Partner and Supplier Costs

Some services may involve foreign recruitment partners, visa-service providers, document suppliers, airlines or other third parties.

Where relevant, Rapid Global shall maintain records identifying:

A third-party payment does not automatically make that amount non-refundable to the Client. Any proposed deduction must be supported by the agreement and applicable law.

Section 7 — Payment Stages

Where a package is payable in instalments, the payment schedule shall be specified in the Client's agreement.

A typical three-stage structure may include:

First Installment — Application & Documentation: Covers the agreed initial services (registration, profile assessment, document review, eligibility screening and recruitment coordination). If the Client cancels before services begin, the amount paid is refunded less any lawful, previously disclosed and documented costs; if services have started, only the reasonable value of completed services and eligible non-recoverable expenses may be retained.

Second Installment — Employment Documentation & Immigration Authorization: Payable only after the milestone named in the Client's payment schedule has been achieved (for example employer offer issued, employment contract signed, work permit issued or Employment Visa D issued — only where the destination actually requires it) and the Client has received verifiable supporting documentation.

Final Installment — Visa Approval & Travel: Payable following official visa issuance, as stated in the payment schedule. It shall not become due following visa refusal. Travel services are delivered according to the agreed package; non-refundable airline or third-party charges must be disclosed and documented.

No milestone shall authorize an otherwise prohibited charge.

Section 8 — No Automatic Entitlement to Future Instalments

A Client is not required to pay a future instalment merely because an earlier instalment was paid.

Each payment becomes due only when its agreed conditions have been met, subject to applicable law.

Section 9 — Official Government Fees

Official embassy, consular, immigration, permit and other government fees shall be identified separately wherever practicable.

Rapid Global shall not misrepresent private administrative charges as government fees.

Government charges may be refundable or non-refundable according to the relevant authority's rules. Rapid Global shall explain any known restrictions before payment.

Section 10 — Flight Ticket Charges

A package shall state whether a flight ticket is included.

Where included, the agreement should identify whether the ticket is:

Where an employer or another party is legally responsible for the worker's journey expenses, the Client shall not be charged those expenses contrary to applicable law.

Section 11 — Flight Cancellations and Unused Funds

If a ticket has not been purchased, money allocated specifically to the ticket shall not be treated as a non-refundable airline expense.

If a ticket has been issued, the refund shall be assessed using the applicable airline conditions, recoverable taxes, cancellation charges and legal requirements.

Any recoverable amount shall be credited or returned to the party legally entitled to it.

Section 12 — Application Processing Times

Processing periods are estimates unless expressly guaranteed in writing by a party legally capable of providing that guarantee.

Embassies, immigration authorities, employers and other third parties may cause delays beyond Rapid Global's control.

A delay does not automatically establish fraud or entitle either party to ignore contractual or statutory obligations.

Section 13 — No Guarantee of Visa Approval

Visa and immigration decisions remain with the competent authorities.

Rapid Global shall not guarantee visa issuance, entry clearance, employment commencement or immigration approval unless an express representation is legally and factually justified.

Section 14 — Employment Offer Authenticity

Where employment services are included, Rapid Global shall take reasonable steps to verify the relevant employer, opportunity and supporting documentation.

A purported offer shall not be described as an approved work permit or visa unless it genuinely has that status.

Section 15 — Employment Offer Unavailable or Withdrawn

Where an agreed employment opportunity becomes unavailable or is withdrawn before the relevant second-payment milestone:

  1. The Client shall not be required to pay the second instalment for that unavailable opportunity.
  2. Rapid Global shall explain the situation in writing.
  3. The Client may consider an alternative suitable opportunity.
  4. The Client may instead request a refund assessment.
  5. Any refund shall comply with the agreement and applicable legal rights.

A replacement opportunity is not guaranteed.

Section 16 — Replacement Employment Opportunities

Rapid Global may offer a replacement opportunity where available and legally permissible.

The Client must voluntarily accept any material change in destination, employer, occupation, salary, working conditions or package price.

The Company shall not automatically transfer the Client to a different opportunity without the necessary consent.

Acceptance of a replacement shall not extinguish accrued statutory refund rights.

Section 17 — Employment Authorization Refusal or Failure

Where a work permit, employment visa or other required employment authorization is refused, withdrawn or cannot be obtained through no fault of the Client, Rapid Global shall review:

Further instalments linked to an unsuccessful milestone shall not become payable unless another lawful and clearly agreed basis exists.

Section 18 — Visa Refusal

Where a visa is refused:

  1. Any final instalment expressly conditional upon visa approval shall not become due.
  2. Rapid Global shall assess any unperformed services and unused funds.
  3. Recoverable flight funds shall be returned or credited as legally required.
  4. Actual third-party charges may be considered only where properly disclosed, evidenced and lawfully deductible.
  5. The cause of refusal shall be reviewed, including any agency error or Client misrepresentation.

Visa refusal does not automatically make all previous payments non-refundable.

Section 19 — Refusal Caused by Company Error

Where an actionable error, misleading representation, unauthorized activity or failure to perform by Rapid Global causes loss to the Client, the Company shall provide the remedy required by applicable law.

Contractual exclusions or supplier-payment terms shall not eliminate mandatory liability.

Section 20 — Client Misrepresentation

Clients must provide truthful, complete and authentic information and documents.

Where a Client knowingly submits false information, forged documents or materially misleading declarations, Rapid Global may suspend or terminate affected services where lawful.

Refunds shall still be assessed under applicable law; misconduct does not automatically justify forfeiture of every amount paid.

Section 21 — Client Cancellation Within 48 Hours

A Client may submit a written cancellation request within 48 hours after entering the agreement.

Rapid Global shall review the request promptly and identify any services already performed or expenses genuinely and lawfully incurred.

The 48-hour period is an additional contractual cancellation procedure, not a waiver of longer statutory rights or an automatic promise of a full refund in every circumstance.

Section 22 — Client Cancellation After 48 Hours

Where a Client voluntarily cancels after 48 hours, the Company shall assess the applicable refund based on:

The Company shall not automatically classify all amounts paid as non-refundable.

Section 23 — Statutory Placement Refund Protection

Where Section 7(7) of Ghana's Labour Act, 2003 (Act 651) applies, a private employment agency that fails to secure placement within three months must refund 50% of the fees paid by the client, as required by that provision.

This protection shall not be excluded, reduced or delayed through a contrary contractual term.

Where another applicable law or legal remedy requires a greater refund, that requirement shall prevail.

Section 24 — Refund Range and Assessment

For qualifying circumstances such as an unavailable offer, cancelled service or supplier failure, Rapid Global may determine that a refund of 50%–100% of the relevant payment is appropriate.

This range is an internal assessment framework, not a universal refund cap, minimum or guaranteed outcome.

Depending on applicable law and the facts, a Client may be entitled to less under a lawful voluntary cancellation arrangement, or more—including a full refund or additional remedies—where legally required.

Section 25 — Non-refundable Charges

A charge may be treated as non-refundable only where:

  1. The relevant term was properly disclosed.
  2. The charge is legally permitted.
  3. The service or expense genuinely occurred.
  4. Appropriate evidence is available.
  5. Retention does not violate statutory or other mandatory rights.

A general statement that all fees are non-refundable shall not override these requirements.

Section 26 — Unused and Recoverable Third-party Funds

Rapid Global shall make reasonable efforts to identify and recover refundable supplier payments where appropriate.

The Company's contractual relationship with a foreign partner shall not, by itself, determine the Client's legal refund entitlement.

Where Rapid Global is legally responsible for a refund, the Client shall not automatically be required to wait until the foreign partner reimburses the Company.

Section 27 — Refund Request Procedure

A Client may request a refund through an official Company communication channel.

The request should identify the Client, relevant agreement, payment and reason for the request.

Rapid Global may request reasonable supporting information, but shall not impose unnecessary barriers to exercising statutory rights.

Section 28 — Refund Review and Decision

Rapid Global shall acknowledge a refund request within five business days and aim to issue a written decision within fourteen business days after receiving the information reasonably necessary for assessment.

Where further investigation is required, the Company shall provide an update explaining the reason for the delay.

These are Company service standards and do not extend any shorter deadline imposed by law.

Section 29 — Refund Payment

An approved refund shall be paid promptly, normally within fourteen business days after approval, unless an earlier deadline is legally required.

Refunds should ordinarily be made through a traceable payment channel.

Any delay caused by banking or payment-provider issues shall be communicated to the Client.

Section 30 — Refund Statement and Evidence

Where a refund is approved or partially declined, Rapid Global shall provide a written breakdown showing:

Confidential third-party information may be protected, but the Client must receive sufficient information to understand the calculation.

Section 31 — Complaints and Dispute Resolution

Clients may raise complaints through the Company's official channels.

Rapid Global shall attempt to resolve disputes professionally and without retaliation.

Nothing in this Policy prevents a Client from approaching the Ghana Police, Labour Department, a competent regulator, court or another lawful dispute-resolution body.

Section 32 — Recordkeeping and Payment Protection

Rapid Global shall maintain appropriate records of agreements, invoices, receipts, partner payments, service milestones, cancellations, refund decisions and payment confirmations.

Access to these records shall be restricted according to authorized staff roles and applicable data protection requirements.

Section 33 — Policy Versions and Client Acceptance

Each published Policy shall carry a version number and effective date.

Rapid Global's administrative system should retain the exact version accepted by each Client, together with the associated agreement and acknowledgement record.

A later policy update shall not silently replace the terms of an existing signed agreement or retrospectively remove accrued rights.

Section 34 — Governing Law, Severability and Policy Approval

This Policy shall be interpreted under applicable Ghanaian law, together with any mandatory laws governing the relevant destination, employment arrangement or regulated service.

Where a provision is unenforceable, the remaining provisions shall continue to apply to the extent legally permissible.

The Company shall review this Policy periodically and before making material changes to its services, pricing or payment practices.

Important: This Policy does not constitute a recruitment licence, immigration-service authorization or exemption from regulatory requirements.

Section 35 — Country Transfer & Payment Credit

35.1 Eligibility. A Client may request a transfer to another available country, employer or employment opportunity where the original opportunity becomes unavailable, the employer withdraws the job offer, the Client becomes ineligible for the original destination, or the Client voluntarily requests a change of destination. All transfers are subject to an eligibility assessment, available vacancies and the Client's written consent.

35.2 Transfer of existing payments. Payments already made may be credited toward the new employment package after deducting only: the reasonable value of services already completed; previously disclosed, documented and non-recoverable third-party expenses; and any applicable government fees already paid. No additional administrative transfer fee shall be charged unless disclosed and agreed in writing before the transfer.

35.3 Package price adjustment. Where the new package costs more, the Client pays the agreed difference under a revised payment schedule. Where it costs less, any remaining unused credit shall be refunded unless the Client voluntarily agrees to another lawful arrangement.

35.4 Transfer approval. No transfer is finalised without confirmation of the new destination and available opportunity, an updated eligibility assessment, a revised service agreement or signed addendum, and written confirmation of the transferred credit, deductions and remaining balance.

35.5 Refund rights. A country transfer is voluntary. A Client shall not be required to accept a transfer as a substitute for a refund to which they are legally or contractually entitled.

35.6 Transfer completion. Once approved, the Client's recruitment record is updated to reflect the new destination, service package, payment credit and applicable recruitment stage.
